Title: Accounting/IT Analyst
Position Description:
Under the supervision of the Director, the Accounting/IT Analyst is responsible for administering the Accounting and IT activities for a high volume law office.
IT, Reporting and Data Analysis:
Liaise with IT and related vendors and technicians and the internal IT staff to ensure efficient functionality of Fund’s IT programs and needs
Review and recommend the purchase/implementation of technology needs within the department, including software and/or hardware
Maintain ProLaw System via regular updates, research and continuous monitoring
Engage in process improvement and strategy to promote efficiencies in work flow and ProLaw system
Develop and utilize Qlikview as a reporting and performance tool to enhance Fund operations for internal and external purposes
Create monthly, quarterly and annual reports reflecting the Legal Fund’s performance
Work with outside consultants to develop IT related programs to maximize efficient operations
Analyze data and trends within the Legal Fund to determine the optimal allocation of departmental resources
Work with department supervisors in identifying and implementing efficiencies within their departments
Implement and maintain procedures in conjunction with the Director and other supervisors to create a seamless operational workflow. Examples include: development and monitoring of daily eligibility updates, paying vendors via ACH, updating check status electronically, implementation of calendar program for reserving intake rooms, staff attendance and intake schedule, monitoring real estate and general escrow account, developing and maintain relevancy of ProLaw Templates & maintaining automated scanning program
Train staff and attorneys on Prolaw and other software programs used by the Legal Fund
Accounting:
Supervise and ensure the efficient processing of Accounts Payable to outside attorneys in a timely fashion
Oversee internal accounting clerks & provide assistance
Prepare and oversee the development of fiscal year budgets for the department
Analyze data and trends within the Legal Services Fund to determine optimal allocation of resources
Prepare & monitor bank reconciliations, cash transfers, and cash receipts and work with the Director to resolve any discrepancies
Oversee case related payments for correct information and determination of whether payments are covered
Create positive pay files and NACHA verification files to be confirmed and transmitted to Bank
Review payroll; reconcile the Timesheet system with requested time off
Monitor monthly budget reports and run variance analysis
Generate & provide Accounting monthly reports of payments made and internal time trackers
Oversee online payments to Government agencies (DHS, NVC) on behalf of clients
Review administrative invoices for accurate information
Monitor petty cash reimbursements and maintain physical bank checks in office safe
Create and maintain DocuSign templates and forms for internal expense vouchers
Liaise with Cooperating Attorneys and other Vendors as needed
Generate, reconcile and mail 1099s to all vendors; generate electronic file to be submitted to the Internal Revenue Service
Communicate with Auditors and consolidate requested backup documentation
Work with the Fund’s bank on Legal Fund related tasks:
Set up new accounts
Coordinate Signatories
Investigate issues regarding A/P exceptions and returned checks
Other Duties and Responsibilities:
General Office Support/Administration
Interview new hires
Provides QA support or back-up as needed in various capacities
Performs other functions or special projects as directed by the Director of Legal Fund
Qualifications and Core Competencies:
Strong written and verbal skills
Well organized and able to multitask and manage projects
Works independently as well as part of a team
Effectively and professionally communicates utilizing appropriate terminology
Detail oriented, well-organized, logical and able to function in a fast paced environment with the ability to independently complete assignments within specific deadlines
Exceptional probable solving skills, resourcefulness and business curiosity is a must
Technical Skills:
Excellent computer/technical skills, expert in Office Suites particularly Microsoft Excel including creating Pivot tables, V Lookups and formulas
Experience and expertise with SQL databases, Access, Qlikview & preferably ProLaw
Ability to import, parse, and manipulate data from a SQL database &
Education and/or Experience:
Bachelor’s degree in Accounting, Finance, or a similar field of study.
Two years of related experience
